Rental Terms &
Conditions.
Please review these rental terms before booking your sauna experience.
1. Delivery and Setup
We deliver and set up the sauna at the agreed location and provide operating and safety instructions. The rental period, equipment, and included extras are specified in your booking confirmation.
2. Renter-Operated Rental
After setup and handover, the sauna is operated by the renter. Unless staff services are separately arranged in writing, the renter is responsible for operating the stove, following the instructions, and supervising guests throughout use. A responsible, sober adult must remain on site while the sauna is in use.
3. Safe Use and Acknowledgment of Risks
Sauna and cold plunge use involves risks, including burns, overheating, slips, falls, and adverse reactions to heat or cold. The renter acknowledges these risks and agrees to explain the safety rules to all guests.
Follow all operating instructions and posted limits. Do not use the equipment while intoxicated, leave the operating sauna unattended, use flammable liquids or unauthorized fuel, cover ventilation openings, or tamper with the stove, chimney, or safety equipment. Children must remain under adult supervision.
4. Responsibility for Operation and Guests
To the extent permitted by law, the renter is responsible for injuries, equipment damage, fire, and damage to third-party property caused by the renter’s or their guests’ misuse, negligence, or failure to follow these terms or the operating instructions.
The renter agrees to reimburse us for reasonable, documented losses and expenses arising from such conduct, including related third-party claims. Nothing in these terms excludes liability that cannot legally be excluded.
5. No Moving or Unauthorized Transfers
The renter may not move, tow, reposition, modify, or repair the sauna trailer or its equipment without our prior written approval. Subletting or transferring the rental to another person is prohibited without our consent.
6. Location and Access
The renter must provide a suitable setup location, safe delivery and pickup access, and permission from the property owner or venue. Any required site or event permissions must be arranged before delivery, as agreed in the booking. We may refuse an unsafe or unauthorized setup.
7. Non-Refundable Deposits and Payments
All booking deposits, partial payments, and full prepayments are non-refundable. A booking deposit reserves the agreed date for the renter and is applied toward the total rental price.
If the renter cancels for any reason, all amounts paid, including any booking deposit, will be retained. No full or partial refund will be issued, except where required by law. Changes in personal plans, illness, non-attendance, or choosing to use less than the booked rental time do not entitle the renter to a refund.
8. Rescheduling
A booking may be moved to another available date by mutual written agreement. Previously paid amounts will be credited toward the rescheduled booking. Rescheduling is subject to availability and is not guaranteed. Changes to the location, rental package, or delivery requirements may result in additional charges agreed upon before rescheduling.
9. Damage, Missing Equipment, and Cleaning
The renter is responsible for reasonable, documented repair or replacement costs for damage or missing equipment caused by the renter or their guests, excluding normal wear and tear. Additional cleaning charges may apply for excessive mess or misuse.
The equipment must be available for pickup at the agreed time, with clear access.
10. Unsafe Conditions or Equipment Problems
Stop using the equipment immediately if you notice a malfunction, smoke inside the sauna, or any unsafe condition, and contact us. In an emergency, call 911.
We may suspend or end use if safety rules are violated or conditions become unsafe. Severe weather, fire restrictions, or venue closures may require stopping or rescheduling the rental. Any payment adjustment will depend on the circumstances and applicable law.
11. Cancellation by Us
If we cannot provide the rental, we will offer a mutually agreed alternative date or a refund for the service not provided.
12. Cold Plunges and Additional Equipment
When cold plunges or other extras are included, the booking confirmation specifies what is provided. Water access and arrangements for filling and draining must be agreed upon before delivery. No diving is permitted. Children must never be left unattended near a filled plunge. Additional ice deliveries or ongoing servicing are included only if expressly stated in the booking.

This notice explains how Sauna on Wheels uses the information you provide when reserving a private sauna experience.
Information we collect
We collect your name, email address, phone number, service address, selected date and time, package and add-ons, booking notes, payment status, and a record that you accepted this notice. Stripe securely collects and processes payment details; Sauna on Wheels does not receive or store your complete card number.
How we use it
We use this information to hold your selected time, create and monitor checkout, process and confirm payment, deliver and provide the booked service, contact you about access or schedule details, and follow up about an incomplete booking. We also use it to prevent duplicate bookings, maintain business records, and respond to support, safety, or legal requests.
Service providers
Information may be processed by service providers necessary to complete the booking, including Stripe for payment, our website hosting and database providers, Zoho for transactional email notifications, and Apple iCloud Calendar when calendar synchronization is enabled. These providers process information under their own terms and privacy practices.
Retention and disclosure
If you allow advertising cookies, we use Meta Pixel to measure page visits, checkout starts, and confirmed purchases, including the purchase amount and currency. Meta may receive browser and device information and use cookies to attribute bookings to ads. We do not send your booking form contact details, delivery address, notes, or payment credentials through this integration. You can decline or change your choice using “Ad privacy choices” on the booking pages. We honor the browser’s Global Privacy Control signal for this advertising measurement.
We keep booking information only as long as reasonably necessary for service delivery, accounting, dispute handling, safety, and legal obligations. We do not sell your personal information. We may disclose information when required by law or when reasonably necessary to protect customers, the public, or our business.
Your choices
You may ask to access, correct, or delete personal information associated with your booking, subject to legal and recordkeeping exceptions. California residents may have additional rights under applicable state privacy law. Contact us to make a request.
Booking terms
Your selected date is temporarily held while checkout is open and is confirmed only after successful payment. You agree to provide accurate contact and service-location information. Delivery and setup require safe, lawful access and suitable space.
